How access control works, and what a complete system needs

Access control decides who can open which door and when, and keeps a record. A card, fingerprint or code is checked by a controller, which releases the lock. Here are the parts of a complete door.

How it works, step by step

What a complete solution includes

Card or PIN reader

Card or PIN reader

Reads a card, fob or code and sends it to the controller.

Tip: Use a reader with the same card type as your cards (125 kHz or 13.56 MHz) so you can add doors later.

Fingerprint or face terminal

Fingerprint or face terminal

Identifies the person themselves, so cards cannot be shared.

Tip: Choose face or fingerprint for staff doors and add card for visitors.

Door controller

Door controller

The brain that decides who may enter and logs every entry.

Tip: A network controller lets you manage doors from one screen and set time rules.

Electric lock

Electric lock

Magnetic lock or strike that opens when the controller says so.

Tip: Choose fail-safe (unlocks without power) for fire exits and fail-secure for stores.

Exit button

Exit button

Lets people leave the door without a card.

Tip: Install it inside the secured area, and add a break-glass emergency release for fire exits.

Power supply with battery

Power supply with battery

Powers the lock and reader and keeps them working in a power cut.

Tip: Size the supply for all locks on it, with a backup battery.

What decides the design

  • List every door that needs control and decide which direction needs a card: entry only, or entry and exit.
  • Group staff into access levels (who can enter which doors and at what hours).
  • Check the door: wood, glass, steel, frameless. The lock type depends on it.
  • Plan cable runs from each door to the controller and the power supply.
  • Decide whether attendance reports are needed. The same terminals can feed payroll.

Common mistakes to avoid

  • Using a magnetic lock on a fire exit without an emergency release.
  • Putting the controller outside the secured area, where it can be tampered with.
  • No backup battery, so doors fail open or locked in a power cut.
  • Sharing cards. Use fingerprint or face on sensitive doors.
  • Forgetting to remove access for staff who leave.

What is an access control system?

An access control system decides who can enter which door or gate, and records every entry. Qyvea Limited designs and installs access control systems across Kenya — from a single door in an office to a multi-site system for a company with offices in Nairobi, Mombasa and Kisumu. The system combines three parts: a reader (fingerprint, face, card or PIN), a controller that decides whether to release, and a locking device on the door or gate. Every entry and exit is logged.

Types of access control we install

Biometric access

Fingerprint or facial recognition. Highest assurance, no cards to lose or share.

Door access control

Readers, locks, controllers and exit buttons on individual doors.

Vehicle gate access

Access control for vehicle gates, with intercom and remote release.

Card & fob

RFID cards or fobs, ideal for visitors, contractors and larger workforces.

PIN code

PIN-only or PIN+card for doors where a code is simpler than biometrics.

Multi-factor

Two factors together (e.g. card + fingerprint) for the most sensitive doors.

Where access control fits

  • Pedestrian doors — staff doors, server rooms, stockrooms, admin areas, exam stores.
  • Vehicle gates — staff parking, delivery gates and site entrances.
  • Turnstiles — high-traffic offices, factories and stadium entries.
  • Lifts — restricting access to specific floors for specific users.
  • Server racks — cabinet locks controlled by the same system.
  • Time attendance — pairing door readers with payroll-ready time reports.

What management software handles

  • Add and remove users — one by one, or in batches
  • Assign access levels per door, per zone, per time window
  • Set temporary access for visitors and contractors that expires automatically
  • Pull access reports — who entered which door, and when
  • Trigger door alarms if a door is forced or held open
  • Lock down every door instantly from the software if there is an incident

Common questions

What is an access control system?

An access control system decides who can enter which door or gate, and records every entry. It combines a reader (fingerprint, face, card or PIN), a controller that decides whether to release, and a locking device on the door or gate. The whole system reports to management software.

What types of access control are there?

The main types are biometric (fingerprint or face), card or fob, PIN code, and multi-factor (two of the above). Any of these can run on doors, turnstiles, vehicle gates and server racks. The right type depends on the site, the people using it and how much assurance you need.

Can one system control doors, gates and turnstiles?

Yes. A single access control system can manage pedestrian doors, vehicle gates, turnstiles, lift access and server cabinet locks, with one software platform controlling all of them.

How much does an access control system cost in Kenya?

Cost depends on the number of doors, the reader type, whether new cabling is needed, and whether door locks and controllers have to be installed. Qyvea provides a free site survey and itemised quote.

Does access control work without internet?

Yes. Controllers store rules and access records locally. Internet is only needed if management wants remote visibility or cloud reporting.
