Fingerprint, face or card — which fits?

  • Fingerprint — best for factories and warehouses where staff hands are typically clean at clock-in, and where budget matters.
  • Facial recognition — best for hospitals, food handling, and any site where touchless is preferred. Also good for staff who work with gloves or wet hands.
  • Card or PIN — best for contractors, guests and temporary staff who should not be enrolled on biometrics.
  • Combined access + attendance — one terminal does door access and clock-in. Common for offices with a single staff entrance.

Common questions from HR

What is the difference between time attendance and biometric attendance?

Biometric attendance describes the method of recording (fingerprint or face). Time attendance is the wider system — clock-in records plus shift patterns, overtime rules, absences, leave and payroll reporting. Most Kenyan employers use a biometric clock for time attendance, but card or PIN clock-ins are also available.

Can the system handle rotating shifts and night shifts?

Yes. Shift patterns including day, night, rotating, split and 24-hour shifts are configured during installation. The system calculates shift allowances and overtime against the correct pattern for each employee.

How does the system calculate overtime in Kenya?

Overtime rules are configured during setup — normal rate, 1.5x, 2x, weekday/weekend and public holiday rates. The system applies the rule automatically to each employee's clock records, so payroll does not have to recalculate by hand.

Does the system track leave and absence?

Yes. Annual leave, sick leave, compassionate leave and unauthorised absence can all be tracked. Leave balances update automatically as days are taken, and managers can approve leave from a dashboard.

Can time attendance feed directly into payroll software?

The system exports hours worked, overtime and absence into a standard CSV or Excel file that payroll can import. Where the payroll software supports direct integration, Qyvea can configure that during setup.

Do you install outside Nairobi?

Yes. Qyvea is a Nairobi-based, delivery-only supplier, and installs across Kenya including Mombasa, Kisumu, Nakuru, Eldoret, Thika, Ruiru and Kiambu.
