Access Control for Offices in Kenya

Office access control for Kenyan businesses — staff doors, reception, server rooms, cash offices and stockrooms, with attendance integration and clean installation that respects how the office actually works.

Who installs office access control in Kenya?

Qyvea Limited installs office access control across Kenya — for companies in Nairobi's Westlands, Upper Hill, Karen, Industrial Area and CBD, and for offices in Mombasa, Kisumu, Nakuru and Eldoret. The goal is not to lock down every door — it is to control the doors that protect people, money, data or stock, and to give HR or the office manager a system they can actually run.

Office doors that usually need access control

Main staff entrance

The primary entry point. Also the natural place to record staff attendance.

Reception back door

Prevents visitors who have been admitted to reception from wandering into the office floor.

Server / IT room

Restricted to IT staff. Usually biometric with fail-secure lock and audit trail.

Cash office / finance

High-assurance door, often with two-factor authentication and anti-tailgating.

HR records room

Protects personal files and contract documents. Restricted access with clear audit trail.

Stockroom / stationery

Prevents small losses. Often paired with CCTV coverage. See CCTV for Businesses.

Biometric, card or PIN for an office?

  • Biometric (fingerprint or face) — the preferred choice for staff entrances and sensitive rooms. No cards to lose, no codes to share.
  • Card / fob — good for larger teams, visitors, contractors and multi-tenant buildings. Cards are easy to issue and revoke.
  • PIN code — the cheapest option and useful for a small office with a handful of doors.
  • Multi-factor — card + fingerprint, or PIN + card. Used where the risk of credential sharing is real (server rooms, cash offices).

A single office can mix readers — biometric on the server room and card on the main entrance, both managed from the same software.

Access control + attendance + CCTV

  • Staff attendance — the same reader on the staff door records clock-in and clock-out. Reports export to payroll. See Time Attendance Systems.
  • CCTV at controlled doors — a camera on the outside of each controlled door records who entered, alongside the electronic access log. See CCTV for Businesses.
  • Fire alarm integration — doors release on alarm so the escape route is clear.
  • Visitor management — reception issues temporary cards or codes that expire automatically.

Office access control questions

Which doors should be access-controlled in an office?

Common doors to control: main staff entrance, reception back door, server/IT room, cash office, HR records room, stockroom, and any door leading to a restricted zone. Not every door needs it — the goal is to control the doors that protect people, money, data or stock.

Can access control double as time attendance in an office?

Yes. The same readers used to open the main staff door can record clock-in and clock-out, with reports that feed into payroll. See the time attendance page for detail.

How do visitors get into an office with access control?

Visitors report to reception and are admitted through the door by reception staff, who log their name and issue a temporary card or code that expires at the end of the visit.

What happens if a staff card is lost?

The card is disabled from the software in seconds, and a new one is issued. Every entry the old card made is still in the audit log, so nothing about the loss is invisible.

How much does office access control cost in Kenya?

Cost depends on the number of doors, whether the office needs biometric or card readers, and whether door locks and cabling need work. Qyvea provides a free site survey and itemised quote per door.
