Go to Attendance > Schedule > Assign Shifts, pick the shift, set the start and end dates, choose Assign To Department or Assign To Employee, select people and confirm, then recalculate.
Key takeaways
- Assign to a department for whole teams.
- Assign to employees for exceptions.
- Set the date range; extend it before it ends.
- Recalculate after assigning.
01Assign
- Open Attendance > Schedule > Assign Shifts.
- Pick the shift you built.
- Set the start and end dates of the period.
- Click Assign To Department or Assign To Employee.
- Select the department or people and confirm.

02Department or individual?
Use department assignment for the default pattern. Use individual assignment for exceptions such as a person on a different roster. Individual assignments can override the department.
03Keep the date range current
An assignment with an end date of 31 December stops working on 1 January. Extend it, or choose a far end date for permanent staff.
04Recalculate
After assigning, run Attendance > Calculate for the dates in question so reports show the new rules. See calculate attendance.
05If people still show absent
Check the shift is assigned for those dates, the employee is in the department, the punches were downloaded, and the timetable's punch windows include the actual times. See absent though punched.
06A typical scenario
A new department was added in January and everyone showed absent for the first week. The shift had been built but never assigned to that department. Assigning it for the right date range and recalculating fixed every report.
Illustrative example based on common cases, not a named customer.
07Common mistakes
- Assigning with an end date that has passed.
- Assigning an individual and forgetting the department already has one.
- Not recalculating.
- Choosing the wrong start date.
- Leaving contractors off the assignment.
08Quick checklist
- Shift built
- Date range correct
- Assigned to department or people
- Recalculated
- Spot-checked
- End date reviewed yearly
