Enrol casual workers on their first day, let the terminal record their arrival and departure, export daily or weekly hours for pay, and delete them when the work ends. Keep casuals in their own department so they never get mixed up with permanent staff.
Key takeaways
- Enrol on day one.
- Pay from the record.
- Keep a separate department.
- Remove workers when finished.
01Why casuals need a record most
Permanent staff have contracts and payslips. Casual workers are often paid in cash against a foreman's list, which is where disputes start: a name missing, a day disputed, a double-counted worker. A fingerprint cannot be borrowed by a friend, so the list becomes the evidence.
02Enrolling a crowd
For a large intake, import names from Excel (import guide) and enrol fingerprints in batches (enrol fingerprint). Workers with worn fingers can use another finger, or a card or face option where the terminal supports it.
03Daily and weekly pay
Run Calculate and take the daily report for headcount, then export weekly hours (export to Excel) for the cashier. Rates and rules stay in your payroll.
04Removing finished workers
When a contract ends, delete the user (delete user) so the terminal stays tidy and memory does not fill (memory full).
05Fairness both ways
A record protects the worker who really came as much as the employer who pays. Explain that to the team on enrolment day. It builds trust faster than a policy memo.
06A typical scenario
A farm enrolled sixty casual pickers in one afternoon and paid from the weekly export. The foreman's list stayed as a cross-check for the first fortnight, then was retired.
Illustrative example based on common cases, not a named customer.
07Common mistakes
- Leaving casuals out because they are temporary.
- Never deleting finished workers.
- Mixing casuals with permanent staff in one group.
08Quick checklist
- Count staff and entrances before you buy.
- Write the working hours down as timetables.
- Enrol everyone, including casual and part-time staff.
- Run a one-week trial and compare it with your old register.
- Name one person who owns the reports.
09Frequently asked questions
Can we enrol many casuals at once?
Yes. Import the list and enrol in batches.
What about workers with worn fingerprints?
Try another finger, a card or face recognition where available.
Do we have to enrol them again every season?
Not if you keep them in the system. Otherwise delete and re-enrol.
