The Problem

## Why Most Estates Are Less Secure Than They Look

Guards and cameras on their own don't make an estate secure. These are the gaps we find most often.

**Unauthorized vehicles**: No record of which vehicles entered, and no way to stop the ones that shouldn't.

**Visitor congestion**: Paper logbooks and phone calls from the gate create queues at peak hours.

**Blind spots**: Cameras installed piecemeal leave rear boundaries and internal roads uncovered.

**Guard dependency**: Security relies on one person's judgement and memory at 3am.

**Power failures**: Cameras, fence and gates go down exactly when the lights go out.

**Disconnected systems**: Fence, CCTV, gates and access each work alone, with nothing tying events together.

Security Maturity

## How Mature Is Your Estate Security?

Each level adds more integration. Higher isn't automatically better for every estate: the right level depends on size, risk and budget. Select the level closest to your estate today.

**Not sure where you are?** The free assessment places your estate on this scale and shows the next practical step.

One Integrated Platform

## One Integrated Estate Security Platform

We don't sell individual devices. We design the security infrastructure of the estate, with every layer feeding the next and everything recorded in one place.

Every layer runs on **one network**, one **resident database** and **backup power**, and is covered by **one maintenance contract**.

Security by Zone

## Your Estate, Zone by Zone

Instead of a long equipment list, we plan the estate as six zones, each with the protection it actually needs.

Schematic for illustration. Every estate's zones are mapped on site during the assessment.

01

**Zone 01: Perimeter**: Electric fence, CCTV, intrusion detection, lighting

02

**Zone 02: Main Entrance**: ANPR, barrier, guardhouse, visitor management, CCTV

03

**Zone 03: Pedestrian Access**: Biometrics, cards, intercom, CCTV

04

**Zone 04: Internal Roads**: CCTV, lighting, emergency monitoring

05

**Zone 05: Community Areas**: Playgrounds, parking, clubhouse, swimming pool, common facilities

06

**Zone 06: Management**: Control room, network, storage, reports, access administration

Smart Vehicle Access

## Faster Entry for Residents, Complete Records of Every Vehicle

Give residents faster entry while keeping complete records of vehicles entering and leaving the estate. Qyvea supplies and installs the full system, with plate recognition, barrier, CCTV and access records all working together.

### Number-Plate Recognition (ANPR/LPR)

Cameras at the gate read each vehicle's plate as it approaches, day and night, so residents don't have to wait for a guard or reach for a remote.

### Resident Vehicle Whitelist

Registered resident plates open the gate automatically. Vehicles are added or removed centrally when residents move in, change cars or move out.

### Visitor Vehicle Registration

Visitor plates are recorded at the gate and given time-limited access, so every visit is logged in the system instead of a guard's notebook.

### Blacklist & Alert Vehicles

Flag vehicles the estate has banned. When a flagged plate is read, the barrier stays closed and the guard is alerted.

### Automatic Boom / Barrier Integration

Plate recognition triggers the boom barrier or gate motor directly, with safety beams so the arm never closes on a vehicle.

### Entry & Exit Records

Every movement is time-stamped against the plate, so the committee can answer "which vehicle left at 2am?" in seconds, without scrolling through hours of footage.

### CCTV Verification at the Gate

Each plate read is linked to a camera image of the vehicle, so records can be checked visually and disputes settled with evidence.

### RFID / UHF Vehicle Tags Optional

Long-range windscreen tags for residents' vehicles, as an alternative or backup to plate recognition.

See the full resident and visitor flow in the [Smart Estate Gatehouse](#gatehouse) section below.

Pedestrian Access

## Security for People on Foot, Not Just Vehicles

Most people who come through an estate gate don't come by car. Each type of person gets the credential that fits them.

BiometricCardPINQR / temporary credentialIntercom verification

From the most permanent credential to the most temporary.

| | |
| --- | --- |
| Residents | Biometric (fingerprint/face) or card |
| Domestic workers | Biometric with a weekday schedule |
| Contractors | Temporary card or PIN, valid for the project dates |
| Visitors | QR / temporary PIN, or intercom verification |
| Children | Card, with CCTV coverage at the pedestrian gate |
| Staff | Biometric, which can double as time attendance |
| Service providers | Scheduled temporary credential |

Staff biometrics can also feed [time & attendance](https://qyvea.co.ke/time-attendance-systems-kenya) for estate employees.

Resident & Visitor Access Management

## Visitors, Deliveries & Workers, Handled Before the Gate

The daily problem at estate gates isn't residents. It's visitors, deliveries, contractors, domestic workers and temporary access. Qyvea supplies, installs and configures a visitor-management system that moves approval to the resident and the record into the system.

Resident receives requestApproves visitorTemporary PIN / QR issuedGuard verifiesEntry recordedExit recorded

- Visitor pre-registration
- Resident approval
- Temporary visitor PIN / QR
- Delivery access
- Contractor access
- Domestic worker access
- Vehicle registration
- Visitor history
- Digital entry/exit logs
- Blacklist management
- Guard verification

Different rules for different people: a delivery rider gets a short single-entry window, a contractor gets working hours for the project, and a domestic worker gets a recurring weekday schedule.

Intelligent CCTV for Estates

## Cameras That Detect Events, Not Just Record

Don't make guards watch hundreds of camera feeds. Intelligent video analytics identify people, vehicles and defined security events, and bring attention to what matters.

**Human detection**: Alerts on people, not swaying trees or animals.

**Vehicle detection**: Separates cars and motorbikes from other motion.

**Intrusion detection**: Alerts when someone enters a defined zone after hours.

**Line crossing**: Virtual tripwires along walls, fences and gates.

**Loitering**: Flags someone lingering near the gate or perimeter.

**Face recognition**: Only where appropriate and in line with the Data Protection Act, 2019.

**Number-plate recognition**: Plates read and searchable from the gate cameras.

**AcuSense false-alarm filtering**: Hikvision's human/vehicle filtering cuts nuisance alerts.

**Perimeter intrusion alerts**: Fence-line cameras linked to alarms and lighting.

Investigations take minutes instead of hours: search by plate, time window or event type rather than scrubbing through footage. See [Hikvision ColorVu cameras](https://qyvea.co.ke/hikvision-colorvu-cctv-camera-kenya) and [CCTV for apartments](https://qyvea.co.ke/cctv-for-apartments-kenya).

Perimeter Security

## Stop Intrusions at the Boundary

- Zoned electric fence
- Perimeter CCTV
- Intrusion detection
- Security lighting
- Alarm integration to the gatehouse

Zoning the fence means an alarm tells the guard *which stretch* of boundary was touched, and the nearest camera shows what's there. See [electric fencing for estates](https://qyvea.co.ke/electric-fence-for-estates-kenya) and the [energizer selection guide](https://qyvea.co.ke/electric-fence-energizer-selection-guide-kenya).

Smart Estate Gatehouse

## The Entrance Is Where Estate Security Is Won

The gate is where the most traffic, the most risk and the most disputes happen. This is how a Qyvea gatehouse handles residents and visitors.

**Every step is recorded.** Plate, time, guard, resident approval and camera image, so any entry can be traced later.

Resident vehicle

1. **Vehicle arrives**approaches the barrier
2. **LPR reads the plate**or a UHF windscreen tag
3. **System checks authorization**whitelist, blacklist, schedule
4. **CCTV verifies**vehicle image captured
5. **Barrier opens**safety beam protects the car
6. **Entry logged**plate, time & image

Visitor

1. **Visitor arrives**at the gatehouse
2. **Guard identifies visitor**: ID, plate, purpose
3. **Resident contacted**call, intercom or app
4. **Resident approves**or pre-approved pass shown
5. **Visitor registered**time-limited access
6. **Entry logged**exit recorded later

Estate Operations

## Engineered for How Estates Actually Run

Equipment is the easy part. These are the day-to-day situations the system has to handle, designed in before installation.

### Security Systems Designed for Failure

Every estate system eventually loses power, loses network or has a gate fault. The question is what happens next. We design that answer in before installation, not after the first incident.

What if the power fails?

**Security stays up**

1. UPS carries the load instantly
2. Batteries (and solar) keep systems running
3. Gates move to controlled operation on battery

What if the network fails?

**Doors & gates keep working**

1. Access controllers run locally where the hardware supports it
2. Recorders keep recording on site
3. Records sync once the network is restored

What if a barrier or gate fails?

**Nobody gets trapped**

1. Manual / emergency release procedure
2. Guards trained on the release on day one
3. Fault logged for maintenance follow-up

What if there's a fire or emergency?

**Help gets in fast**

1. Defined emergency access procedure
2. Emergency route kept clear and openable
3. Emergency services met at the gate

Beyond security: life safety

- Fire alarms
- Emergency exits
- Emergency lighting
- Security alarms
- CCTV verification
- Gate emergency release
- Backup power
- Emergency communication

Qyvea also installs [fire alarm systems](https://qyvea.co.ke/fire-alarm-systems), so life safety is planned with the security system rather than as a separate job.

Scenario: fire alarm at night

Fire alarm activatesAffected area identifiedCCTV can verify conditionsSecurity team respondsEmergency access route stays available

**No overclaiming:** automatic links between fire alarm, CCTV and gates are configured only where the proposed hardware actually supports them. Where it doesn't, the same steps are set up as a written, trained procedure.

### Gate Traffic & Queue Planning

Large estates don't only have a security problem. They have a traffic problem. At peak hours residents, visitors, deliveries, school vehicles, taxis and contractors all arrive at once, and a queue onto the main road is itself a security risk.

Schematic for illustration. Lane layout is designed from the actual site and its peak-hour traffic.

Who arrives at 7–8am

ResidentsVisitorsDeliveriesSchool vehiclesTaxisContractors

What we design around

- Entry/exit lane configuration
- Peak-hour traffic
- Resident lanes
- Visitor lanes
- Delivery access
- Pedestrian lanes
- Barrier placement
- Guard position
- ANPR camera positioning
- Vehicle queue management

Residents never wait behind a visitor being registered: plate recognition opens their lane, visitors stop in their own lane, and exits are never blocked by entries.

### Contractor & Service-Provider Access

Contractors aren't visitors. They come back day after day, often in groups, with vehicles and tools, for a defined job. Management sets the rules once, and the gate enforces them.

Management defines

- Who is allowed in
- Which unit they are visiting
- Valid date
- Valid time
- Vehicle
- Purpose
- Entry / exit record
- Who authorised it

### Delivery Access

Couriers, food deliveries and parcels are the highest-volume, lowest-trust traffic at most estate gates. They get their own rules, not a resident's credentials.

Courier arrivesVehicle / person registeredRecipient & unit identifiedAccess rules appliedEntry loggedExit recorded

Rules the estate can choose

- Drop-off at the gatehouse only
- Escorted or time-limited access to the unit
- Resident notified or asked to approve
- Single-entry pass that expires on exit

**For high-security estates:** delivery personnel can be given controlled, one-time access without ever holding a permanent resident credential.

### Resident Lifecycle Management

An access system is only as good as its resident list. Most estates' problems come from people who moved out but can still get in. Every change goes through a defined workflow, done by the estate administrator, not the guard.

#### Resident moves in

Unit assignedResident registeredVehicles registeredAccess credentials issued

#### Resident changes vehicle

Old vehicle disabledNew plate addedChange logged

#### Resident moves out

Resident disabledVehicle access removedCredentials revoked

The same workflow covers tenants: a landlord or agent can request access for a new tenant, and the administrator approves it.

24/7 Security Monitoring

## Monitoring That Means Something Specific

“24/7 monitoring” should never be a vague promise. Here is exactly what is monitored, and by whom.

- Live CCTV monitoring
- Intrusion alerts
- Electric-fence alarms
- Gate alarms
- Camera health alerts
- Person / vehicle detection
- Critical-event escalation
- Recorded incident footage
- Remote management access

**How it's delivered:** Qyvea designs and installs the detection and alerting infrastructure, and integrates the estate with a **partner monitoring centre** for round-the-clock monitoring. The same alerts can also go to the estate's own gatehouse or control room.

Guard oversight comes from the same system: digital gatehouse logs, patrol checkpoints and incident reports replace the paper logbook, so the committee can see what happened on every shift.

## Security That Doesn't Go Offline

Power cuts are exactly when an estate is most exposed. A power failure shouldn't take down any part of the security system.

### What stays running

- CCTV cameras & recorders
- Electric fence energizers
- Access control
- Gate automation
- Network equipment
- Gatehouse systems
- Security lighting

Because Qyvea also does solar and electrical work, the estate's security and its backup power are designed together, sized for the actual security load, not bolted on afterwards. See [solar backup solutions](https://qyvea.co.ke/solar-solutions) and [security system backup power](https://qyvea.co.ke/security-system-backup-power-kenya).

How It Works

## From Survey to Maintenance

**Survey**: Walk the estate, map zones and risks

**Design**: System design and zone plan

**Proposal**: Scope, equipment schedule, phasing

**Installation**: Cabling, mounting, gatehouse fit-out

**Commissioning**: Every system tested before handover

**Training**: Guards, managers and admins trained

**Maintenance**: Scheduled service and health reports

Commissioning & Handover

## Commissioned, Documented and Handed Over

Every installed system is tested against a checklist before handover, with the estate committee or manager present.

#### CCTV

- Coverage
- Recording
- Night performance
- Storage

#### ANPR

- Plate capture
- Day/night recognition
- Barrier trigger

#### Access control

- Authorised users
- Denied users
- Emergency operation

#### Electric fence

- Zone alarms
- Backup power
- Fault detection

#### Gates

- Safety sensors
- Emergency release
- Open/close operation

The project isn’t complete when the equipment is mounted. It’s complete when the system has been tested and handed over.

### What the estate receives at handover

Anyone can install hardware. A professional integrator also leaves behind the documentation the estate needs to run, maintain and hand the system on to another company if it ever wants to.

Estate security documentationEquipment scheduleCamera locationsNetwork topologyAccess-control configurationGate configurationWarranty recordsDevice serial numbersMaintenance scheduleCredentials handover procedureEmergency proceduresSystem trainingAs-built documentation

Passwords are never written into the handover pack: admin credentials are handed over in person under a defined procedure, and changed by the estate.

### Designed around the estate, not one brand

“Will we have to throw away everything we already bought?” Usually not. Where technically compatible, Qyvea integrates:

- Existing CCTV
- Existing gates
- Existing access control
- Existing network
- Existing electric fence
- Existing power systems

The assessment checks compatibility system by system, and says plainly when something can't be integrated.

### We don’t recommend equipment just to increase the quote

A 200-home estate doesn't automatically need the same system as a 500-home development. The design depends on:

- Perimeter length
- Number of gates
- Traffic volume
- Number of units
- Terrain
- Existing infrastructure
- Security risk
- Budget
- Expansion plans

FAQ

## Questions Estate Managers Ask Us

How do I stop unauthorized vehicles?

Plate recognition with a resident whitelist and blacklist alerts. Only approved vehicles open the barrier.

How do I know who entered?

Every entry and exit is logged with plate, time and a CCTV image, searchable in seconds.

What if a resident loses a card?

The card is disabled centrally in the resident database straight away and a new one is issued. No lock changes needed.

How do I control visitors?

Residents pre-approve visitors, who get a temporary PIN/QR pass. Guards verify it, and entry and exit are recorded.

How do I monitor guards?

Digital gatehouse logs, patrol checkpoints and incident reports replace the paper logbook.

How do I know cameras are working?

Camera-health alerts flag offline cameras, failed recording or full storage before you need the footage.

How do I investigate an incident?

Search recordings by plate, time, person or vehicle event instead of scrubbing through hours of video.

What happens during a power outage?

UPS, batteries, solar and automatic changeover keep cameras, fence, gates and network running.

How do I manage multiple gates?

All gates share one resident database, one set of access rules and one set of records.

How do I report to the HOA committee?

Monthly system-health and incident reports that a committee can read without technical knowledge.

Do we have to replace our existing security system?

Often not. Where technically compatible, existing CCTV, gates, access control, fencing and power systems can be integrated. The assessment identifies what to keep, upgrade or replace.

What happens if the power or network fails?

UPS and battery backup keep the system running through a power cut. Where the hardware supports it, access controllers keep working locally during a network outage and sync when it's restored. Gates have a manual or emergency release procedure that guards are trained on.

Can contractors and deliveries get in without permanent credentials?

Yes. Contractors get passes limited to a unit, dates, hours and vehicle, authorised by a named person. Deliveries can be limited to gatehouse drop-off or a single-entry pass that expires on exit.
